Laura & Joe: Candlelight & Romance

My bride, Laura, had fantastic ideas for a wedding full of personalized details. On wedding day, Mother Nature chose not to cooperate. A huge storm rolled through, briefly knocking out the power during our setup and drenching the outdoor patio. But with a little maneuvering, nothing would stand in our way to bring the bride's vision to life. Check out the stunning photos by Dayna Schroeder Photography:

Pinning on boutonnieres to ensure the guys look dapper.

The ceremony programs doubled as fans for the hot summer day.

We hung the bride's beautiful framed photos along the church pews.
It was a unique touch and a great use of engagement photos.

 Grand Exit
Your wedding coordinator will orchestrate your grand exit from the ceremony by guiding guests outside to form two lines, distributing the bubbles, and cueing the bride and groom.

On to the reception at the beautiful Ravisloe Country Club.
(The calm before the storm...literally!)

Instead of lining up the escort cards in rows,
we hung them from these wrought iron decorative pieces.

A scotch bar atop the fireplace mantle gave the cocktail hour a cozy touch.

Wedding coordinators often have to make quick judgments and split decisions. With the storm, we knew we'd have to do cocktails inside and found new places for the cigar & scotch bar on the fly.

No detail was overlooked, with personalized drink stirrers and napkins.

The dinner table signs featured family member pets,
and this board introduced and showcased each furry friend.
If you look closely on the bottom row, you'll notice the bride's new pet...the groom! ;)

Here is the gorgeous view from atop the stairs.

Black and Gold Tablescape

A big part of a wedding coordinator's job is setup. Yes, we make sure your other vendors are setting up according to plan. But think of all those little details that don't fall under any other vendor's responsibilities.
That's where we come in!
Those miscellaneous details that we setup can include escort cards, menu cards, favors, table signs, candles, cake toppers, and DIY centerpieces and decor.

Menu cards in a vertical pocket fold napkin.

The table decor featured two different looks interspersed throughout the room: candlelit lanterns and tall floral stands.

 The Cake

The storm caused all sorts of trouble, knocking down power lines and causing traffic delays. When the cake had yet to show up, I was just about to send my team off to pickup a backup when ...Voila! The beautiful cake arrived in the nick of time, just as we were about to seat the guests. We like to have a backup plan but are thrilled when we don't have to use it!

The Head Table.

Using the bridesmaid bouquets is a great way to decorate a long head table and gives a place for the ladies to keep their bouquets. Your wedding coordinator will gather up the bouquets to put in place, as the bridesmaids arrive at the venue.

When the sun went down, the room was awash in romantic candlelight.

Audrey & Carlos: Love Around the World

Our bride, Audrey, was a craft maven with an eye for details. The heart and soul that she poured into the planning was evident in every moment and detail. And her travel-themed wedding perfectly exemplified how DIY decor can be both fun and elegant. The beautiful, photojournalistic images by Emily Zoladz Photography tell the story of the big day:

Primping for Photos

Instead of petals, the flower girls tossed hearts cut from maps to showcase the couple's travel theme.

The ceremony was heartfelt and moving (even I got teary-eyed!).
Incorporating cultural or family traditions adds a personalized touch to the service.
The Mexican custom of the lasso symbolizes the everlasting union of the bride and groom.

The travel theme was evident throughout the reception decor.
Instead of a guestbook, we spread out postcards for guests to write their well-wishes,
and collected them in a vintage suitcase.

The bride and groom were completely surprised by a family member's gift of a mariachi band to serenade them. When the band appeared right when we were about to transition from cocktail hour to the reception room, it required some quick thinking. To keep us on schedule, we had the mariachi band lead guests upstairs in a spontaneous parade and play while dinner commenced.

Instead of table numbers, each table was named after a place the couple had visited.
A great way to further showcase your bouquets is to use the bridesmaid bouquets again as centerpieces.

If dessert is included in your catering package, you may not want a full-scale wedding cake too.
A small cake on a pedestal is perfect so that you can still capture the classic cake cutting.

Formal affairs don't have to be stuffy!
With a game table, the couple gave a nod toward their fun-loving and whimsical sides.

Congratulations to Audrey and Carlos!

Quick Tip: At The End of the Day

You've spent tons of time planning for the Big Day to make sure everything goes smoothly; don't forget to plan for what happens once the party is over.

Simply put - there is a lot of stuff to take home at the end of a wedding! You'll have gifts, the guestbook, leftover favors, leftover programs, the top tier of the cake, any DIY decor that you provided, your bouquet, and possibly even centerpieces. It's best to designate a friend or family member in advance to be responsible for taking these items home for you. Your designated person should know ahead of time that they are appointed for this task, and they should be aware that this responsibility requires that they stay until the very end of the wedding. Also, these items don't easily fit in the hotel shuttle or a cab, so be sure that the designated person will have her own transportation after the reception.

If your plan is to pick up these items at a later time, just be sure to clear this with your venue in advance. Some venues expect everything to be removed after an event while others may store items for you until the next day. But be sure you know your venue's policy before making your plans.

Lastly, don't forget about the rentals! You may have centerpiece vases or cake stands that are rentals from your vendors. Make sure you are aware of the plan for removal of these items. Check your contract to see if you are responsible for the return of these items. If so, these items will need to go with your designated person. But if the vendors will be returning to collect these rented items after the wedding, you will need to inform them of the venue's policy on when they must come. Again, some venues will not store items after the wedding, so the vendors will need to know that they must come immediately after the reception ends. But if the venue will store the items, the vendors can arrange for pickup at a later time.

Some simple coordination in advance will help avoid confusion at the end of the Big Day.

Meagan & Jason: Sparkling Heart and Soul

Every time I met with our blonde bombshell bride, Meagan, her warmth and infectious excitement were overflowing. The wedding was a true reflection of those qualities -- glamorous yet full of warmth for family and friends. While the reception decor was dripping in diamond accents, personal homemade touches created a welcoming and comfortable atmosphere. Check out the beautiful photos by Studio Rebekah Photography:

Our fashionista bride insisted the menfolk wear real bow ties.  It was hilarious to find them hovering around a cell phone You Tube video trying to figure out how to tie them. Gotta love technology!

With one coordinator on bow tie duty and one on boutonniere duty, the guys came out dashing and on time!

But upon entering the reception room, the bling abounded.
The table decor was comprised of two different looks.

Each tablescape was complete with a unique, hand-picked frame for the table sign
and a dinner menu placed in a diamond-shaped holder.

Each napkin held a cake pop favor, personally made by the bride.

The late-night dessert bar was stocked with homemade goodies on a variety of platters and trays.

Jaclyn & Joseph: A Day Full of Surprises

After all the planning that goes into a wedding, every bride thinks she knows exactly how the big day will go. But this playful groom had some surprises in store for his beautiful bride. Check out the awesome photos by Colin Lyons Photography:

You don't see it often anymore, but we did a traditional rice toss.
Not to worry - I did my research and it's a myth that rice is bad for the birds!

The groom's surprise display of some of the couple's favorite memories.

Recognize our special surprise guest? It's Elvis!

Famed Elvis tribute artist, Rick Saucedo, serenaded the bride and groom during the cocktail hour.
